    General Functions:

    The Receptionist within the Recovery Services department provides clerical and administrative support across the Recovery Services Continuum. This position will be responsible for greeting and directing all office visitors, scheduling, shopping and maintaining an inventory of supplies, answering a multi-line telephone system, filing, and typing general correspondence.   


    Duties and Responsibilities:

    • Provide participants with excellent customer service, by greeting all participants and treating them with dignity and respect, working from a position of Trauma informed practices.
    • Provide administrative support to the Ernie Turner Center and Chanlyut when requested.
    • Possess an understanding of all programs with in the Recovery Services Department and be able to provide resources list to individuals requesting information. 
    • Scan, upload, and maintain the scan folders documents.
    • Coordinate and schedule client assessments, keeping all contact sheets and AASAP referrals in a log and filing them appropriately. Also assure collateral information is requested and received for assessments.
    • Keep inventory of program supplies and replenishes as needed.
    • Responsible for the cleanliness and organization of the RS Departments, group rooms, and breakrooms, including common areas.
    • Screen incoming calls, takes messages, refers calls and responds to routine callers. 
    • Screen mail, routes and/or copies for appropriate departments. 
    • Receive incoming/outgoing faxes and distribute accordingly.
    • Maintain and updates filing system. Retrieve information from files when needed.
    • Handle confidential and non-routine information according to RS procedures and policies.
    • Work independently and within a team on special nonrecurring and ongoing projects.
    • Type and design general correspondences, memos, charts, tables, graphs, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes.
    • Transport, pick-up, and drop-off supplies and other items; perform additional errands as requested by the supervisor.
    • Participate in required trainings, to include but not be limited to trauma informed practices, and meet attendance requirements.
    • Safeguard information by maintaining an organized workstation.
    • Maintain confidentiality according to regulations, policies, and procedures.
    • Perform all related duties as assigned.

    Job Specifications:

    • Strong proficiency using computers and standard office equipment.
    • Strong proficiency using Microsoft Excel, PowerPoint and Word.
    • Excellent written and verbal communication skills; expert knowledge of proper grammar, good vocabulary, spelling and proofreading skills.
    • Good public contact skills and telephone etiquette.
    • Ability to make decisions and exercise good judgment.
    • Ability to work closely with personnel from other departments within CITC.
    • Ability to work under pressure, independently with minimal supervision.
    • Ability to prioritize workload.
    • High degree of sensitivity regarding confidential information.

    Minimum Qualifications:

    • High School Diploma or GED.
    • Two (2) years of administrative or clerical experience that includes answering phones, typing, filing, sorting mail, and entering data.
    • Continued employment status will be contingent upon completion of a satisfactory state and federal criminal background check.
    • Valid Alaska Driver’s License and insurable under CITC’s automotive insurance, which requires a driver to be at least 21 years of age.

    Preferred Qualifications:

    • Knowledge of Alaska Native and American Indian culture and/or community resources.
